§1Responsible party
This policy explains how SonarShop, a division of Surgi-Clin (Pty) Ltd (the “responsible party” under the Protection of Personal Information Act 4 of 2013, “POPIA”), handles the personal information of visitors to sonarshop.co.za and of our customers. Effective date: Rev 0.1 — 2026.
§2What we collect
We collect only what you give us when you contact us or request a quotation:
- your name and surname;
- contact details — e-mail address and phone number;
- practice or facility details you choose to provide (practice name, delivery address);
- the content of your correspondence with us, including the items on your quote slip when you submit it.
We do not collect payment information on this website. There is no checkout, no card processing and no payment form — all payments happen off-site by EFT against an invoice.
§3Why we collect it
- To respond to your quotation requests and enquiries.
- To fulfil orders — invoicing, delivery arrangements, installation and commissioning.
- To keep service and warranty records for equipment we have supplied or serviced.
- To comply with legal obligations, such as tax and company record-keeping.
We process your information on the basis that it is necessary for these purposes. We do not use it for automated decision-making or profiling.
§4No sale of personal information
We do not sell, rent or trade personal information to anyone, and we do not share it with third parties for their marketing.
§5Who we share it with
Sharing is limited to service providers who need the information to do their work for us:
- the form-delivery service that relays website form submissions to our e-mail;
- our website hosting provider, on whose servers correspondence may transit;
- couriers and logistics providers, who receive your name, delivery address and phone number to deliver your order.
Each provider may use the information only to provide its service to us.
§6How long we keep it
We keep personal information for as long as it is needed for the purpose it was collected for — for example, service and warranty records for the life of our relationship with your practice — and thereafter for any period a law requires (such as the retention periods for tax and accounting records). When it is no longer needed, we delete or de-identify it.
§7Your rights under POPIA
You may at any time:
- ask what personal information we hold about you and request access to it;
- ask us to correct or update it;
- ask us to delete it, where we are not required by law to keep it;
- object to processing, including any direct marketing;
- lodge a complaint with the Information Regulator (South Africa) at complaints.IR@inforegulator.org.za.
To exercise any of these rights, e-mail our Information Officer at admin@sonarshop.co.za. We will respond within a reasonable time and in any event within the periods POPIA prescribes.
§8Security
We take reasonable technical and organisational measures to protect personal information, appropriate to the small amount we hold: the website is served over HTTPS, form submissions are transmitted encrypted, access to our mailboxes and records is limited to staff who need it, and we hold no payment data at all. If a breach of security compromises your personal information, we will notify you and the Information Regulator as POPIA requires.
§9Cookies and local storage
This site sets no analytics or marketing cookies. The only browser storage it uses is the quote-slip list kept in your own browser. Details are in our cookie policy.
